Baronial Policies
Baronial Event Bids
All Baronial events must go through a bid process and through the baronial financial committee. Baronial events are any events that are sponsored by the barony, (see note below to complete).
A bid package should contain a budget, a site plan, schedule of events and a listing of who will be running the various aspects of the event. If using a new site, some photos of the site should be included.
As a note, Baronial events that are also kingdom events MUST adhere to the Kingdom bid policy and timelines.

All bids for Baronial events must be submitted to Their Excellencies and the Baronial Seneschal in writing. (Electronic formats accepted at the discretion of these gentles.) It is best to submit the bid as early as possible to give the group sufficient time to prepare should their bid be acceptable.
All bids must include:
* name of the host group (and sponsoring group if acceptable)
* date, time, location
* a description of the facilities
* a description and schedule of activities planned for the day
* a proposed budget
* a summary of names and qualifications of the key people working on the event. (e.g. autocrat, head cook, etc.)
The deadline for submissions for Baronial level events is the first day of the month, four full months before the proposed date of the event. An alternate deadline may be decided upon by the current Baronial Couple and Baronial Seneschal. This will be posted on the Ramshaven e-list and announced in both baronial meetings and canton meetings.
All effort will be made for a decision to be rendered within three weeks of the bid deadline so that it may be submitted to the calendar secretary and for posting in the Tidings. The decision will be made by the current Baronial couple, Baronial Seneschal, with the input of the Baronial Financial Committee.Other input may be solicited but is not required.
As a note, the proposed site must be of sufficient size to host a Baronial level event (check attendance for last couple years with Baronial Seneschal or last Autocrat). Hall sizes should be included in the bid, including a breakdown of space alloted for each activity.
Things to look for in a hall:
* There should be enough space for
- storage
- a 6 foot buffer zone around the list field(s)
- should be no windows or breakable hall property near the list area
- an area for spectators near the list field(s)
- a baronial presence
- a royalty room and royal presence if you expect any royalty to attend the event
* Suitable kitchen facilities for feasts
* The list floor should be able to suitably stand up to scuffs from fighters' boots and knee cops. If this could cause damage to the hall, carpets or some other floor covering should be provided. There should be no loose edges for fighters to trip over.
* Controlled access so that the public can't wander through
* A site with a less obtrusive modern atmosphere. Permission to use decorations that assist in providing an appropriate medieval setting is an asset.
Changeover Policy for Baronial Officers of Ramshaven
This policy will apply to all baronial officers. This policy is to allow all who wish to take on a baronial position the chance to put their name in for the office.
An announcement will be made to the general populace of Ramshaven a minimum of six weeks prior to an officer stepping down from his/her position. This process can be done earlier to allow for the replacement to become familiar with the job. The six week timeframe will still be used for the announcements, applications, and decision process.
Announcements will be made on the Ramshaven e-list, at all canton level meetings, and (if possible) the Ramshaven Herald. The announcement will include a job summary and the deadline for applications for the position.
The applicants' should include their name, why they want the position, what they wish to do in the office, and any skills or experience that would help them fulfill the duties of the office. The applications are to be turned into the officer who is stepping down and the current Baronial Couple within four weeks of the position being first announced.
The decision of who becomes the successor for the office will be decided by the officer stepping down with the input of the current Baron and Baroness, and the other baronial officers. In the event of an officer leaving their position on short notice (less than six weeks) their deputy will fill in the position while the application process is followed. In this case the Baronial Couple and baronial seneschal will choose the successor of the office, with commentary from the outgoing officer (if available), the deputy, and the other Baronial Officers. Two weeks are allowed for discussion on all prospective candidates. By the end of the two weeks the decision will be made and the outgoing officer shall contact first the successful candidate and then the unsuccessful candidates. An announcement is then to be make at meetings, in the baronial newsletter and to all e-mail lists where available as to whom the successor shall be. Change over shall then take place preferably at a baronial event or canton event when the outgoing officer is planned to step down.
It is suggested that baronial officers also use the application process when taking on deputies to their office so that any who might wish to be considered for the position will have a chance to put their name in. This wouldn't involve any of the other officers or the Baronial Couple.
Note: this policy does not override any policy at the Kingdom or Corpora level. Any restrictions and rules governing who is fit for an office are still in force.
